What is Thingz? Thingz is a coordination platform that connects your CRM to every team in your company. Sales creates action items from HubSpot records; engineering, finance, product, and operations receive them in the tools they already use — Slack, Teams, Outlook, and more. No extra app required for your colleagues.

Prerequisites

Before setting up the Thingz HubSpot integration, make sure you have the following.

🏢

A Thingz account

You need a Thingz workspace with Admin rights to connect HubSpot. Sign up for free if you don't have one.

🔑

HubSpot Admin access

You need Super Admin rights on your HubSpot portal to install and configure the app.

Step 1: Connect HubSpot to Thingz

This single step installs the Thingz app on your HubSpot portal and registers the portal connection in Thingz simultaneously. It is done from the Thingz web app via an OAuth flow.

1

Sign in to the Thingz web app

Go to app.thingzapp.com and sign in with your Thingz Admin account.

2

Go to App Settings and open the HubSpot section

In the left sidebar, navigate to App Settings, then click on HubSpot.

3

Click Connect

Click the Connect button. If HubSpot is already connected, click Disconnect first, then reconnect. The HubSpot OAuth authorization page opens in a new tab.

4

Authorize the connection

Select the HubSpot account you want to connect, review the requested permissions, and click Connect app. This installs the Thingz app on your HubSpot portal and registers the portal in Thingz in one step. You will be redirected back to Thingz once complete.

Note: If you install the Thingz app directly from the HubSpot Marketplace, the app will be installed but your portal will not be registered in Thingz. You will need to complete the Connect flow from the Thingz web app afterwards. HubSpot will recognize the app is already installed and simply complete the portal registration.

Step 2: Configure card locations

After installation, configure where the Thingz card appears in your CRM records.

1

Go to Connected Apps settings

In HubSpot, go to Settings (gear icon) then Integrations then Connected Apps. Find Thingz and click on it.

2

Open App Cards settings

Click the Settings tab, then click App cards in the left sidebar. You will see the Thingz card listed.

3

Manage locations

Click Manage locations. Enable the Thingz card for Contact Record and Deal Record views. Click Save.

The first time you open the Thingz card on a CRM record, you will be prompted to link your Thingz account. This is a one-time step per user.

1

Open a Deal or Contact record in HubSpot

Navigate to CRM then Deals or CRM then Contacts and open any record. The Thingz card appears in the right sidebar.

2

Sign in with your Thingz credentials

Enter your Thingz email address and password in the card. Click Sign in. Your HubSpot identity is automatically linked to your Thingz account.

3

Select your workspace (if applicable)

If your Thingz account belongs to multiple workspaces connected to this HubSpot portal, you will be asked to select which workspace to work in.

Note: Once linked, you will not be prompted to sign in again. The card loads automatically on every subsequent visit. Other users on the same HubSpot portal must complete this linking step individually the first time they open the card.

Using the app

Once set up, the Thingz card is available on every Deal and Contact record in your CRM. It has two main tabs: Create and View.

Creating action items

The Create tab lets you assign a cross-team action item directly from the CRM record you are viewing.

  • Title is the only mandatory field.
  • Owner: assign the action to any Thingz user in your workspace. They will be notified in their preferred tool (Slack, Teams, email, etc.).
  • Due date: set an optional deadline.
  • Plan: assign to a plan (a group of related actions) or create a new one inline.
  • Extended form: click Open the extended form to access additional fields including priority and description.

Click + Create action to submit. The action item is immediately visible to the assigned owner in their tool.

Viewing action items

The View tab shows the three most recent action items from your workspace, sorted newest to oldest.

Click View all N actions to open the extended list panel. From there you can:

  • Filter by plan, owner, status, and priority.
  • Sort by creation date or reference number.
  • Open a detail view for each action item to see all fields.

Creating HubSpot notes

When creating an action item, tick Create a HubSpot note for this action. Thingz will automatically add a note to the current Deal or Contact record summarising the action item, including title, owner, due date, and plan. This keeps a visible trace of the action on the CRM record for the full sales team.

Troubleshooting

The Thingz card does not appear on my records

Make sure you have completed Step 3 (configure card locations). Go to Settings then Integrations then Connected Apps then Thingz then Settings then App cards then Manage locations and verify the card is enabled for Contact and Deal records.

I see "HubSpot not connected" in the card

This means your HubSpot portal has not been connected to a Thingz workspace. A Thingz Admin must complete Step 1 (connect HubSpot from the Thingz web app) before any user can use the card.

I am prompted to sign in every time I open the card

This can happen if your account was signed out from the Settings menu inside the card. Sign in again with your Thingz credentials — the link is re-established automatically and you will not be prompted again.

I cannot create action items

Creating action items requires a Thingz role of Admin or Project Manager. If you have a Member or Stakeholder role, you can view existing actions but not create new ones. Contact your workspace Admin to update your role.

Frequently asked questions

No. Only users who create or manage action items from HubSpot need a Thingz account. The colleagues who receive and respond to actions (in Slack, Teams, email, etc.) do not need any account at all.
No. Each HubSpot user must link their own Thingz account individually. This ensures that action items are correctly attributed to the right person.
Yes. You can connect a HubSpot portal to multiple Thingz workspaces. When you open the card, you can switch between workspaces from the Settings menu (gear icon).
Thingz reads the record identifier (deal ID or contact ID) and portal ID to associate action items with the right CRM record. When you choose to create a HubSpot note, Thingz writes a note to that record. Thingz does not read or modify any other CRM properties.
Go to the Thingz web app, navigate to App Settings then HubSpot, and click Disconnect. You can also uninstall the app from your HubSpot portal via Settings then Integrations then Connected Apps.
